Jimi Capacity management

Why does your team keep missing sprint commitments even when everyone is working hard? The answer isn't effort, it's capacity planning done wrong. In this episode, Alex and Atlassian expert Jimi Wikman have a brutally honest conversation about what capacity management really is, why most teams get it completely backwards, and what you can actually do about it. If you've ever watched a sprint fail and wondered why this video is going to hit home.

👉 What we cover:

  • 🤔 Capacity management vs. resource management — they're NOT the same thing

  • 😬 Why Atlassian's native capacity tools are a disappointment (so far)

  • 💸 How missed timelines cost companies millions — a real-world horror story

  • 📉 The mythical man month — why throwing more people at a problem makes it worse

  • 🧠 The psychology of teams when new members are added mid-project

  • ✂️ Why your real capacity is only 50% of what you think it is

  • 📊 How to calculate capacity the right way — vacations, sick days, meetings & more

  • 🎯 Why you should only fill 75% of your sprint capacity (and what to do with the rest)

  • 🖖 The "Scotty method" — why underpromising and overdelivering builds unshakeable trust

  • ⚠️ Say-do ratio — does it actually matter and should you track it?

  • 🏆 Story points vs. hours — which one actually gives you better visibility?

  • 🔄 Why agile and fixed-price projects are fundamentally incompatible

  • 📉 The psychological spiral that happens when teams miss sprints repeatedly

I had a discussion with a customer that wanted to use resource planning in Jira Plans to be able to shuffle people between teams from sprint to sprint to adjust capacity and "fix the timeline"

Spoiler: That didn't work

If you need to re-plan, move the workload to another team not the people.
