Another week have passed, and several new things have been published or rolled this week. I have received the new Playbooks feature, which I had completely missed, and it is amazing. This week was mostly about navigation changes and the Organization API's, but we also got confirmation that the Data Center certifications are officially dead.

Playbooks in Jira Service Management

This came out of nowhere for me and I think I have seen the announcement in the Product Updates, but because the description is so poor, I did not think much of it. Playbooks in Jira Service Management is amazing however, and I wrote an article about it yesterday. In short, it combines a step by step checklist with instructions and automations to provide a clear playbook of how to handle certain things and trigger automations.

New navigations for Atlassian Home and Confluence

Confluence are getting pretty heavy changes, which no one seems to be talking about. Last week I posted about the three new features that are rolling out for the pages with comments in the sidebar and more. This week we get a brand-new navigation where things are really moving around. This is no small change as things are shifting place between the top section of the navigation and the bottom section.

Atlassian Home will get the same navigation as Jira, Jira Service Management, Jira Product Discovery and Confluence. This means that Atlassian Home, which I am still struggling to understand from a product perspective, becomes even more confusing. I will dig deeper into Atlassian Home in a later article and probably a video as well. New Organization API's

Atlassian announced that they are excited to release some new user and group management APIs for organizations so you can better manage your users and groups. These new API's are for user and group within an organization and for all calls you need directoryID as a mandatory parameter.

If you have only 1 directory in your organization or want to retrieve information across all of your organization's directories, you can use the special character -.

If you need to find your directoryID, then a second article was posted this week on how to do just that. Sadly it seems that this is not as straight forward as you would want.

There is currently no way to retrieve the directory ID through Atlassian Administration (admin.atlassian.com).

Instead, you can retrieve the directory ID through the GET list of workspaces endpoint:

Data Center Certifications confirmed to be removed

In a not so polite way, Atlassian have officially announced the Data Center certifications are dead. This was expected, but what struck me was how insensitive the wording is in this article.

"Atlassian is invested in its Cloud product growth, and our customers are increasingly collaborating with the power of the Atlassian Cloud and System of Work. With most of our new features and products being developed for this platform, we want to assure you that our certification catalog will reflect this transformation to better serve your needs."


"By phasing out Data Center certifications from our catalog, we are thoughtfully reallocating resources to create innovative Cloud content and support additional products and roles that align with Atlassian’s System of Work. We appreciate your understanding as we navigate this transition together."

"Which Cloud certification will you check out first? Let us know in the comments."

The tone of this article is basically a big middle finger to all Data Center customers and a clear message that unless you are on cloud, you don't matter.

Table Customizations in Request Type Setting

This is a fairly strange change that I am not sure who really needed, but I like it anyway. Basically this changes the overview of Request Types in your Jira Service Management to a more tabular format. This table can then be customized from the view settings, which is similar to all other view settings you find in Jira for example. While not the most exciting change, it should make managing your request types easier in the future.

Introducing hierarchy in the "All work" view in project navigation

When you are looking into the "All work" section in your Jira project of you will soon see that the list of work items supports the full work item hierarchy so you can get a nice nested view. Unfortunately this will not be true for all license tiers.

  • For Jira Premium users: It will apply to all levels respecting the hierarchy defined in Plans since Premium allows custom levels above Epics.

  • For Standard Jira users: The hierarchy will work within the default structure of Epics → Stories/Tasks → Sub-tasks, as custom hierarchy levels are not supported in Standard Jira.

Introducing Theming: Add a splash of color to your projects

We’re bringing a splash of color to Jira software projects. Project admins can customize their team's project with a selection of solid, colored background.

Select More actions (•••) next to the project name in the side navigation then select Set project background.

 

Required permissions

To set a theme you must be a project admin.

Available in:

  • Software projects.

  • Both company-managed projects and team-managed projects.

Supported views:

  • Summary.

  • All work.

  • Board.

  • Timeline.

  • Backlog.

You must have the new navigation enabled to access theming.

To set a theme in a company-managed project

  • Go to a board in a company-managed project.

  • Select the project name on the left sidebar navigation.

  • Select More actions (•••).

  • Select Set project background then set a theme.

To set a theme in a team-managed project you can follow the same steps as the company-managed project or:

  • Go to a board in a team-managed project.

  • Select More actions (•••) next to the project name.

  • Select Set project background then set a theme.

Prevent people from downloading attached files

Data security policies allow you to use rules to control how users, apps, and people outside the organization interact with content in Confluence and Jira.

We’re extending the data export rule to also block the downloading of files attached to Confluence and Jira. After this rule takes effect, users will no longer find a download button in sections like the attachment list, macros, and file previews.

We opted to extend the data export rule rather than introduce a new one because of the considerable overlap between export and download. Our findings showed that the types organizations needing to block exports also wanted to prevent attachment downloads.

This change will affect any existing policies that have configured the data export rule to block exports.

The data export rule requires Atlassian Guard Standard.

To check whether your data security policies currently block exports:

  1. Go to admin.atlassian.com. Select your organization if you have more than one.

  2. Select Security > Data security policies.

  3. Select a policy, and check whether exporting data is blocked.

Key changes

  • The data export rule now also prevents people from downloading files attached to Confluence and Jira.

  • This change applies to any policy that includes the data export rule.

Create a chart via the issue navigator

Visualize data from your project in seconds by creating a chart via the issue navigator. Select the column you want to see in a chart, and choose the chart type that best fits your data. The chart will be created based on data from all the filtered issues in your issue navigator.

To create a chart via the issue navigator:

  1. Start in a Jira Cloud project.

  2. Select Issues to view the issue navigator.

  3. Select More actions (•••), then View issues as a chart.

  4. Choose the column you want to see in a chart.

View linked Jira work items in Confluence page

As part of the content wrapper redesign, the Jira work items link button was removed. In this update, you can now find linked Jira work items in the "Connections" section of the "Details" side panel. You can now click into the Jira work items section and display work items linked to your Confluence page from your "System Jira" instance.

Restrict who can view specific forms once submitted

You may have forms in your service project that only certain people should be able to view. These could be forms that contain confidential information about someone, or sensitive information specific to different teams in your company.

Control who can view certain forms on issues by giving specific users or groups access to them, whilst restricting access to all others. If a user doesn’t have access to a form, they’ll still be able to view the issue the form is attached on but won’t be able to see the form at all. Read more about restricting who can view forms
